Bill 25 Compliance – Octopus’ Role and Responsibilities

As part of the implementation of Bill 25 (An Act to modernize legislative provisions as regards the protection of personal information), we wish to provide the following clarifications regarding the role and responsibilities of Octopus-ITSM.com.

Compliance with Bill 25 primarily depends on how each client uses the Octopus application and on the internal processes put in place by the client. In this regard, Octopus provides a software platform for data management, but does not act as the data controller regarding the personal information recorded by its clients.
 
As the provider of the Octopus solution, we do not collect personal information from our clients’ end users. The only information collected by Octopus-ITSM.com consists of professional data (name, professional email address, role) relating to authorized individuals —such as administrators or consultants— who are permitted to submit technical support requests or interact with our services team.
 
The information and data recorded by our clients in the Octopus application are:
  • Hosted in secure databases;
  • Encrypted in accordance with industry best practices;
  • Stored in a robust cloud infrastructure that meets high standards for security and confidentiality.
It is therefore the responsibility of each client to:
  • Determine which personal information they choose to collect and record in Octopus;
  • Implement the necessary policies, procedures, and controls to ensure compliance with Bill 25 (access management, data retention, consent, destruction, etc.);
  • Designate the individuals responsible for the protection of personal information within their organization.
We naturally remain available to assist our clients in understanding the features of Octopus and in adopting best practices for its use, without, however, taking over their legal obligations.
